Policy on Credit Card Use

The following rules are established in accordance with Resolution 050900 passed by the Board of Trustees of the Hancock County Public Library at its regular meeting on May 9, 2000. The resolultion follows guidelines set by the State Board of Accounts and the Indiana State Library on credit card use by public libraries.

  1. The issuance and use of the credit card is the responsibility of the Treasurer/Bookkeeper who will make the rules known to staff.
  2. The credit card will be used by specific library staff designated by the Treasurer/Bookkeeper, namely, the CEO, COO, Associate Director, department heads, order clerk, and others when designated for one-time use.
  3. The credit card will be used for specific library purposes only; namely, to purchase materials and supplies, make travel and conference reservations, and other similar uses authorized by the Treasurer/Bookkeeper.
  4. The credit card will be returned to the treasurer/bookkeeper after each use, along with any bills, receipts, or notes regarding purchases made and invoices or shipments expected.
  5. Any claims not itemized or properly documented will be returned to the employee for correction and that employee will be responsible for any interest or penalty charged as the result of this delay.
  6. All costs incurred and charged with the credit card must be business related and not personal in nature.
